(Old) Adding, Editing and Managing Funding Sources

Adding a Funding Source

  1. To add a funding source go to:
    Admin/Acquisitions Administration/Funding Sources
  2. Click on the New Funding Source button
  3. Enter the name of your funding source. Funding sources need to be unique across our Evergreen system so you should add something to the name that indicates your town or institution. Ex. SSC Budget, GLO Materials Budget, MAR Town Funds, etc.
  4. Select your org unit.
  5. Enter the code for your funding source. This can be the same as the name you entered or it can be different. It also needs to be unique across our Evergreen system.
  6. Select the currency US Dollars from the drop down list.
  7. Click Save
  8. Click on the underlined Funding Source Name of the funding source you just created.
  9. The Funding Source Details screen appears.
  10. Add money to your funding source by clicking on the Apply Credit drop down.
    • Filling in the amount you want to put in the funding source. For example, you can enter 50000 to add $50,000.00. If you have amounts with change, type in 50000.95.
    • Enter a note (optional).
    • Click Apply.

If your funds have already been set up you can allocate money to your funds by clicking on the Allocate to Fund drop down. (Money from a funding source can also be pulled into a fund when managing the fund itself. See Managing Funds for more details)

Funding Source Details

Summary Tab:

  • Balance: The amount remaining in your funding source.
  • Total Credits: The total of all monies added to your funding source.
  • Total Debits:The total of all monies allocated to funds.
  • Balance = Total Credits – Total Debits

Credit Tab: Lists all credits applied to the funding source.

Debit Tab: Lists all amounts allocated to funds.

Editing a Funding Source

  1. On the Funding Source list screen double click on the funding source you wish to edit.
  2. Make the desired changes.
  3. Click Save

Removing Money from a Funding Source

To remove money from a funding source you need to apply a negative credit.

  1. On the Funding Source list screen click on the underlined name of the funding source you want to apply the credit to.
  2. Click on the Apply Credit drop down.
  3. Enter the amount you want to remove from the funding source starting with a “-” or in parentheses. Ex. -200 or (200). The amount will change to (200.00) when you click off the box.
  4. Add a note (optional).
  5. Click Apply.
