Serials Receiving: Serial Control View

To receive an issue of a serial:

Search the catalog for your title
Select “Actions for this Record”
Select “Serial Control View”
Select the “Items” tab
Make sure that the “Receive” radio button is selected.
In the top half of the screen, the items that have yet to be received are displayed. In the bottom half of the screen, recently received items are displayed.
Select the branch that will receive the items from the drop down box.
Highlight the issue or issues that you want to receive
By default, Evergreen will create a copy for each issue that you receive. So, if you do not wish to create copies, click on “Set Current Unit”

Select “No Unit”
Click to “Receive/Move Selected”

If you do wish to create a copy
Select the issue(s) you wish to receive
Click Receive/Move Selected.
Enter a barcode and call number A message confirming receipt of the item appears. Click OK.
The screen refreshes. In the top half of the screen, the item displays a received date.

The issue(s) you receive are moved to the lower window and appear at the top of the list

You can also receive issues in the Alternate Serial Control view, but it is less efficient and do not see the full display of issues expected and received

To receive in Alternate Serial Control view:

Search the catalog for your title
Select “Actions for this Record”
Select “Alternate Serial Control”
Click on the subscription ID

On the Serials Details page, select “Batch Item Receive”
This option allows you to receive one or more copies of a single issuance, not multiple issuances

Select the issue that you wish to receive from the dropdown menu and click “Next”


The top line of the next screen should be filled in if you have multiple copies to receive–this is for batch receiving
If you have only one distribution and one stream for the subscription, you will only one line displayed below this batch receive line; use this line

If you are not routing the serial, uncheck the “Routing List” option (it is checked by default)
You may enter a note, but this is not displayed publicly
If you are not creating items for the subscription, click “Receive Selected Item”

If you are creating copies for the subscription, click on “Create Units for Received Items”

Click on “Next”

Input a barcode, call number and copy location
Unclick “Routing List” if you are not routing the copy
Click “Receive Selected Items”


Click “Start Over” to receive an issue of a different subscription (NOT Working as of 5/13/2012)
