Serials Copy Templates

Each serial “distribution” must be associated with a copy template, so at least one copy template must be created before creating any subscriptions in Evergreen.

For now, be sure to add your library’s name/abbreviation to the name of your template, since all templates are accessible on the dropdown menu.

To create a new template:

  • Select “Admin” from the upper right hand corner of the Evergreen portal page
  • Select “Local Administration”
  • Select “Copy Template Editor”

  • Make sure that the correct organization unit is selected
  • Click on “New Copy Template”

  • Complete the template and click to “Save”

The copy template is comprised of the following fields, not all of which are required:

  • Name: REQUIRED — include your library as part of the name
  • Owning Library: REQUIRED
  • Circulate: Check if the serial circulates
  • Holdable: Check if the serial is holdable
  • Opac Visible: Check to ensure that the serial displays in the catalog
  • Loan Duration: REQUIRED if the serial circulates, select the correct loan duration period; if it does not circulate, leave the default value
  • Fine Level: REQUIRED if the serial circulates, select the correct fine level; if it does not circulate, leave the default value
  • Location: select the correct copy location from the drop down menu
  • Circ Modifier: Select the correct circulation modifier
  • Floating?: NOT USED, LEAVE BLANK
  • Deposit?: NOT USED, LEAVE BLANK
  • Reference?: Check if the serial is a Reference item
  • Mint Condition: Check this box to set value to true. This value must be “true” in order for a copy to be trapped for holds
  • Age Protection: OPTIONAL — This field controls whether a new item can travel to fill holds at other libraries. It is not currently functional.
  • Alert message: OPTIONAL — Enter any alert that you want to display when the item is checked out or checked in to a patron
  • Circ as Type: NOT USED, LEAVE BLANK
  • Deposit amount: NOT USED, LEAVE BLANK
  • Price: OPTIONAL
  • Status: REQUIRED — Select the appropriate status code from the drop down menu
