Creating a Serial Subscription

Search the catalog for the serial title
Click on “Actions for this Record”
Select “Alternate Serial Control” from the menu

The subscription entry page will display

Select “New Subscription”

Enter the basic subscription information including:

  • Owning library: the library purchasing the subscription (Note: in most cases this should be the “branch.”)
  • Start Date
  • End Date (If applicable)
  • Date Offset (If applicable): the number of days prior to or after the publication date that you anticipate receiving the serial

Click on the subscription ID to go to the subscription details screen

Distributions and Streams

Next, input information indicating how many copies of the subscription the library will receive and where it will be received. In Evergreen, these parameters are called “Distributions” and “Streams.”

  • Click on the “Distributions” tab
  • Select “New Distribution”
  • Enter a label for the distribution (e.g. “Periodical Room”
  • Enter the holding library
  • Select a display grouping
  • Select the correct serials template
  • Enter “use_sre_only” for the Summary Method if you do not want the system-generated holdings summary to display in the catalog. See more details.

  • The last two entries (Unit label prefix and Unit label suffix) do not apply to the Alternate Serial Control view
  • Save the entry

Next, add one or more “Streams.” A stream indicates the number of copies of each issue that will be received by the related distribution.

To add a stream, click on the hyperlinked distribution name.
You will see a system generated ID.
You may input a label for the “stream,” but this is not required and is useful primarily for routing a serial.
Click “Save”

Click on the hyperlink for the distribution to go back to the Subscription Details page

Next you will generate captions and patterns for the subscription.
