(Old) Distribution Formulas

Distribution Formulas can be used as templates for applying copy data to line items. You can configure a specific set of copy field values in a distribution formula. When you apply a distribution formula to selected line items, all the copy field values set in the formula are updated in the line item copies.

You must have authorization to set up distribution formulas. Local Admins and Acq Level Twos can set up distribution formulas.

To set up a Distribution Formula:

  1. Distribution Formulas can be accessed from the Acquisitions menu or by going to Administration > Acquisitions Administration and selecting Distribution Formulas.
  2. Click New Formula. (Notice that you can also delete and clone distribution formulas.)
  3. Enter a Formula Name. No limits exist on the number of characters that can be entered in this field.
  4. Choose a Formula Owner from the drop down menu.
  5. Ignore the Skip Count field which is currently not used.
  6. Click Save.
  7. Click New Entry and wait for the screen to load.
  8. Select an Owning Library from the drop down menu. This indicates the branch that will receive the items.
  9. Select a Shelving Location from the drop down menu.
  10. In the Item Count field, enter the number of items that should be distributed to the branch. You can enter the number or use the arrows on the right side of the field.
  11. Select a Copy Location.
  12. Select a Fund. Only Active funds display in the dropdown.
  13. Select a circ modifier.
  14. Enter a collection code. (optional)
  15. Click Apply Changes. The screen will reload.
  16. To return to the list of distribution formulas, ckick the Go Back button.

To edit a distribution formula:

  1. In the list view, click on the name of the formula
  2. Make any changes. NOTE: Because the fiscal year does not currently display in the distribution formula fund drop down, if you are changing the fund, you will need to test the fund that you choose by applying the distribution formula to a pending PO and clicking Expand All to see if you got the correct fund. The fiscal year will display in the line item copy info.
  3. Click one of the Apply Changes buttons

You can also remove a line by clicking on the red “X”.

To apply distribution formulas to a PO: Select the line items you want to update then select the distribution formula and click Apply to Selected.
