Searching the Database for Cataloging

The first step in cataloging is to determine if there’s a matching bibliographic record in the database, or if you need to add a new one. If there’s a matching record, you can just attach your new item. If there isn’t a matching record, you need to add one and attach your record to that. You should search the database at least three ways before deciding there isn’t a matching record. If the record has an ISBN or LCCN, that’s usually the best search to do first. If there isn’t an ISBN or if it fails to find a match, try searching for another number like the title or a combination of the author’s last name and the title.

Keyword Search

The search screen is displayed. The left-hand part of the search screen is where the specialized search functionality for catalogers is located. An ISBN search here searches entire NOBLE database.

Enter your search criteria and click Submit.

Confirm bibliographic data as displayed in the brief record. If satisfied that the record matches the item in hand, you can proceed to add holdings as described in Adding Holdings to Title Records.

If an OCLC number is nine digits then Evergreen uses “ocn” as a prefix. For example: ocn123456789.

If an OCLC number is less than 8 digits then Evergreen uses “ocm” as a prefix. In addition Evergreen will automatically prefix the number with zeros so that it is nine digits. For example: ocm01234567, or ocm00123456.

If searching a LCCN do not use a hyphen, add a “0” in place of a hyphen, e.g. 2001001234.
