Long Overdue Items and Billing

Evergreen will automatically bill a patron for the cost of an item when the item becomes 42 days overdue. Patrons will be blocked from checking out, renewing, and placing holds. Holds will not be captured for patrons who are blocked. When the item is overdue for 1 year, it will be assumed Lost. The changes to patron and item records for long overdue items are outlined below with sample screenshots:

42 Days After Due Date:

  • Item status is changed to Long Overdue
  • The patron’s Items Out list shows the item as Long Overdue
  • A bill for the price of the item is applied to the patron record
  • The patron’s Bills screen shows the bill for the item as Long Overdue, highlighted in orange
  • A Long Overdue item block is placed on the patron’s record
  • An email bill notice is generated if the patron has an email address
  • A printable bill notice is generated
  • The item appears in the public and staff catalog with status Long Overdue

1 Year After the Due Date:

  • Item status is changed to Lost
  • The patron’s checked out item list shows the item as Lost
  • The patron’s bills screen shows the bill for the item as Lost, highlighted in dark red
  • A Lost Item block is placed on the patron’s record
  • The item appears in the staff catalog with status Lost but does NOT appear in the public catalog

Lost Items

Return of Long Overdue or Lost items:

  • The bill for the cost of the item is removed from the patron’s account
  • Unpaid overdue fines for the transaction are reinstated
  • Patron blocks are reevaluated based on the status of the patron’s account
  • The item changes to Reshelving status

Payment of bills for Long Overdue or Lost items:

  • The bill for the cost of the item is removed from the patron’s account
  • Patron blocks are reevaluated based on the status of the patron’s account
  • Item changes to Lost and Paid status
