E. Holdings Information as of 6/30/2002

Holdings information is broken down by format type to match up as closely as possible with the formats in the ARIS form. The formats were derived from the ITYPE in the Innopac. If the Item Format or ITYPE was ambiguous, the statistics were counted under miscelleneous(for example, Special Collection). Cross Tab reports (ITYPE by Location) were used to gather these statistics.

The categories for ADULT/YA and CHILDREN are derived from the location code in the item records. Codes ending with an "a" are included in the ADULT totals; codes ending with a "j" are included in the CHILDREN totals. If your library does not catalog YA materials under the "a" location, then you will have to adjust these totals. College library reports retain the original location code and are not broken down by Adult/Children.

For periodical holdings, the system is only able to count issues. Since the ARIS and IPEDS forms request that you report bibliographic volumes and not the number of issues, the number was not included.

The following chart shows the number of bibliographic records that each college library is attached to. This corresponds with the IPEDS request for the number of titles owned.

G. Circulation Totals

Circulation totals are broken down by format type to match up as closely as possible with the formats in the Board of Library Commissioners' Annual Report Information Survey (ARIS). The formats were derived from the ITYPE field. If the Item Format or ITYPE was ambiguous, the statistics were counted under miscelleneous (for example, Special Collection).

NOTE: checkouts to patrons with a PTYPE of "Special Patron", "ILL Card", and "NOBLE ILL Center" were subtracted from the ADULT/YA totals. These checkouts were for internal use only and should not be counted as a checkout on the ARIS form.

These statistics were generated from a Cross Tab report with the rows set to ITYPE and the columns set to item Location. The item location was used to determine whether material was adult/YA or childrens. If your library does not catalog YA materials under the "a" location, then you will have to adjust these totals. For libraries with multiple branches, campuses, or bookmobiles, the totals were combined.

H. Interlibrary Loans

Interlibrary loan statistics were gathered from 5 different reports:

NOTE: Last year NOBLE recommended that libraries use an ITYPE to represent borrowed material rather than an item scat. For these reports, item scats were checked for each library, and if the count by item scat (3000-3999) was greater than the count by ITYPE, then the scat figures were used instead of the ITYPE figures. These libraries should review their ILL procedures and make sure accurate ITYPES are added to incoming material. Scats are no longer needed for ILL items in order to produce Interlibrary Loan and Net Lender statistics.

Non-Owned Items Circulated - This report shows ILL's among NOBLE libraries. If you want to print this, you need the Excel file.

The following reports include complete ILL activity including the statistics from the Non-Owned report (above).

I. Interlibrary Loans in Table G

Checkouts to special ILL cards were already subtracted from the ILL totals provided for Section G above. Enter 0 on the ARIS form for this section.

J. Nonresident Circulation Transactions

Non-Resident borrowing statistics are taken from the Circ Activity Report (sorted by RECIPROCAL) of the Innovative system. Reciprocal borrowing is determined by the code in the RECIPROCAL field of the patron's record.

L. Number of Registered Borrowers

The number of registered borrowers as of 6/30/2002 is counted by the RECIPROCAL field to most closely represent residents of your community.

This corresponds to section L of the ARIS form and Section D of the of the ARIS Additional Information Survey.

Net Lending Offset Progam Statistics

The Net Lender form for the MBLC requires that you look at your ILL statistics by region. The ILL statistics above were reworked to show loans to and borrows from region members.

NOTE: Last year NOBLE recommended that libraries use an ITYPE to represent the region that the borrowed material came from rather than an item scat. For libraries that had statistics in the non-specific ITYPE "ILL Material", item scats (3000-3999) were checked and the scat figures were used instead of the ITYPE figures. These libraries should review their ILL procedures and make sure accurate ITYPES are added to incoming material.

Non-Owned Items Circulated - This report shows ILL's among NOBLE libraries and has been reformatted to show region affiliation.
