BHCC Library Deletion & Withdrawals Guidelines
& Procedures1. A Technical Services librarian is responsible for guiding the process of materials deletion and withdrawals.
2. A designated shelf area in the technical services work room labeled "Delete " is the holding area for books or other materials assigned for deletion.
3. The criteria for determining which books & materials are slated for deletion includes the following:
Item/book is damaged and not suitable for repair missing a number of pages heavily highlighted with a marker out of date, (weeding project) multicopy4. Deletion procedure:
retrieve the shelflist and match with the book/material delete the item record in QuiCat stamp the book with the DISCARD stamp and write the date and initials next to the barcode move discarded books/materials to the trash pick up area (back elevator) discard shelflists (tear card in half) if no replacement needs to be done (see #6)Book Deletion to be assigned to the Library Assistant and/or other staff as needed and trained (guided by the Tech Services librarian.)
5. Delete item hold on OCLC. (Authorized staff only)
6. The replacement of the deleted book is required if a book is important for the library collection:
· produce an order card with the mark replacement7. Deletion of the missing item includes deletion of the item in QuiCat,
delete hold in OCLC and withdrawal of the shelflist8.Withdrawal of the current newspapers and removal of the current periodicals is the responsibility of the Library Assistant III and conducted regularly according to the established storage guideline.
9. The weeding of the back issues of the periodicals is selected by the
professional staff of the library and assigned to the support staff to withdraw materials from the shelves.10. Advertising of the list of periodicals withdrawals within the Greater Boston Consortia is required prier to the final discard of the materials.
